Position Summary:

We have an exciting opportunity to join our team as a Administrative Assistant.

The Administrative Assistant is responsible for providing a wide range of departmental administrative support, including coordinating medical students rotation in Anesthesiology, coordinating the Practice Based Learning and Improvement (PBLI) conference for the Anesthesiology residency program, Collecting, tracking and maintaining clinicians licenses and certifications.

Job Responsibilities:

  • Clinician Licenses/Certifications Compliance
    Tracks and maintains database of faculty, CRNAs, NPs, PAs and Technicians licenses and certifications.
    Maintain computerized copies of all licensures/certifications.
  • In-rotating Critical Care Fellows (MSK)
    Works with MSK Coordinator to onboard in-rotating Critical Care Fellows at Bellevue.
    Oversees rotating Fellows application in New Innovations and conveys status to MSK Coordinator to ensure Fellow starts on time.
    Updates Site Director and Admin Manager of incoming Fellows.
    Maintains a computerized folder of In-Rotators schedules, documents, etc.
  • CME PBLI Highmarks New Innovation
    Assists Course Director with annual Highmarks application for CME credits.
    Tracks faculty disclosures and required documentation in Highmarks to ensure CME credits.
    Obtains Housestaffs weekly PBLI cases and formats for presentation.
    Coordinates weekly faculty pre- PBLI meetings.
    Distributes weekly case presentations and Highmarks Announcement to all Anesthesia staff.
    Enrolls all faculty in Highmarks at the beginning of the academic year to facilitate attendance using QR Code.
    Maintains copies of PBLI presentations for ACGME accreditation.
    Creates Housestaff attendance roster in New Innovations at the beginning of each academic year.
    Enters excused Housestaff attendance in New Innovation, on a weekly basis.
  • Medical Students In-Elective
    Act as liaison with NYU Registrars office. Assists Course Director in handling application requests, rotation changes and evaluation completion.
    Meets and greets medical students on their first day. Distributes orientation packages and schedules.
    Orients students to the Anesthesiology administrative office and conference room.
    Creates a computerized folder for each student.
    Coordinates medical students WebEx lectures and assist faculty in setting up for the conferences.
  • Provides back up coverage for Tisch Command Center
  • First back-up for mail run.
  • Assists Housestaff with Bellevue EPIC and other admin issues during their Bellevue rotations.
  • Receives and distributes Clinicians radiation badges on a monthly basis.
  • Provides receptionist duties in the Bellevue Anesthesiology office.
  • Performs other administrative duties as assigned by the Administrative Managers and Chief of Service at Bellevue Hospital Center.

Minimum Qualifications:

To qualify you must have a Associate's degree in a related field. Minimum of three years of related experience in an administrative support role or the equivalent combination of education and experience. Proficient in the use of Microsoft Office Word, Excel, and Access. Ability to develop moderately sophisticated spreadsheets; set up routine computer procedures; resolve simple software/hardware problems. Ability to access e-mail, electronic calendars, and other basic office support software. Effective oral, written, communication, interpersonal and customer service skills. Ability to proofread documents and write clear, concise first draft. Ability to type at a speed of at least 50 net words per minute. Ability to multi-task while paying attention to detail. Ability to exercise administrative judgment and assumes responsibility for decisions, consequences, and results.
