One of the country's premier international studies centers, the Mario Einaudi Center for International Studies (Einaudi Center), is Cornell's crossroads for research, teaching, and learning about the world. The Center is a key unit in the Office of the Vice Provost for International Affairs (OVPIA). Through area studies and thematic programs, we strive to foster deep understanding and new knowledge of the world's current events, histories, cultures, and languages. We support campus-wide multidisciplinary initiatives and forge transnational collaborations.

The administrative staff in the Center provide central administrative and operational support for the entire Center, and the OVPIA, which consists of multiple international programs and units. In this administrative role, provide comprehensive, complex, and confidential high-level support for the core team and senior leadership of the Einaudi Center. Will interact with multiple internal and external partners, including federal and non-federal grant agencies. Reporting to the manager of finance, areas of responsibility include administration, database management, finance, human resources, and reporting.

Will oversee the maintenance of complex and confidential administrative, financial, and academic records and databases and provide complex, high-level administrative support for the Executive Director, the Manager of Finance and the Administrator/ HR Manager. When necessary, will also support various activities and initiatives as part of the Center's core administrative team. Must effectively communicate with audiences across campus at all levels, particularly in the Division of Financial Affairs, Office of Sponsored Programs, and the Office of Human Resources; may also engage with EHS, Facilities, and CIT. Must be well versed in the activities of the Einaudi Center and the OVPIA organization, as well as practices and policies of Cornell University, and be able to respond to and/or appropriately direct questions, applying independent sound judgment to affect appropriate actions.

With minimal oversight, manage (monitor, reconcile) general accounts and grant (sponsored) accounts,working with faculty PIs and external grant program officers (federal or non-federal) to ensure compliance with spending guidelines and reporting needs. Requires knowledge of complex grant structures such as salary cost-sharing. Independently respond to a wide variety of non-routine financial needs necessitating knowledge of cross-unit transfers, grant sub-awards, and – where necessary – policy and process for disbursing funds internationally.Will independently track and reconcile payments and POs, monitoring several sources of funds, including discretionary, gift, endowment, and sponsored accounts. Will liaise with executive director and director of development on gift tracking, donor acknowledgements and stewardship. Responsible for developing internal policy and procedural recommendations and documentation, and oversees content management of the finance section of the OVPIA administrative portal. Provides reporting for multiple areas of the Center, including on sponsored (external) grants (several million dollars/year)and funding provided to faculty and students (over $1 million/year.). Coordinates the annual effort certification process for OVPIA, coordinating with academic departments as necessary. Independently develops annual budgets for key operating and programming accounts.

Provide human resources support for a staff of 75 and approximately 20 academic visitors per academic year, coordinating the search and hiring process, including the scheduling of interviews. Will advise hiring managers on logistics for the hiring of staff and visiting academics (scholars). Will coordinate the visa process for visiting academics or academic hires for the entire Center, in consultation with central HR and the Office of Global Learning. Will track searches, positions, hiring processes, onboardings, orientations, term appointments, and exits using various tools. Responsible for independently creating onboarding schedules, and managing the employee exit process.

Required Qualifications:

Associate's Degree or equivalent plus more than 4 years of proven administrative which includes finance experience. Proven ability to thoughtfully balance conflicting priorities.

Proficient knowledge of a wide range of computer programs include Word, and Excel. Experience in database management.

Preferred Qualifications:

Proficiency in Cornell University systems, particularly Finance systems and reporting tools.
