[email protected] is looking for an International Business Affairs Coordinator to be responsible for all of the business components of broadcast, digital, and print production for the agency including the management of all global digital asset inquiries. This role requires cross functional collaboration across agency departments (Account, Business Affairs/Talent, AV Management, and Studio) to obtain the most current and accurate information around all moving projects for global market counterparts.


Responsibilities

  • Assist Director of Business Affairs on broadcast/digital/test spot production costs
  • Work with producer and Director of Business Affairs in reviewing creative and what is needed for final spot(s)
  • With Director of Business Affairs to ensure that all bids are reviewed by cost consultant and producer
  • Attend pre-bid meetings to discuss estimate with client, cost consultant, producer, and account team when required
  • Work with Director of Business Affairs to create formal Excel estimates to be endorsed by cost consultant when required, and send to client for approval
  • For full up productions, assist Director of Business Affairs in preparing contracts and declaring insurance for production companies and editorial houses
  • Generate purchase orders for vendors
  • For music productions, generate purchase orders and coordinate with legal to finalize music agreements
  • Approve/process vendor invoice
  • With Director of Business Affairs to revise Excel estimates as needed
  • Review and approve monthly billing
  • Work cohesively with internal staff, clients, cost consultants and outside vendors
  • Actualize and close all assigned broadcast production jobs
  • Assist producers and Director of Business Affairs with maintenance of talent records
  • Managing global inquiries, questions and Assets Plus requests across all markets and providing alternative solutions for global requests when needed
  • Managing and providing alternative solutions to clients for all Opera requests where usage gets declined
  • Notifying and reminding markets of upcoming model expirations and relevant model updates, and keeping track of model contract dates and usage expirations
  • Updating and managing global distribution lists daily
  • Receive guidance from Director of Business Affairs and Director of Content Management


Qualifications

  • Bachelor's Degree or equivalent professional experience is required
  • Practical knowledge of/acumen and a background in traditional and digital advertising is ideal
  • Detail-oriented with keen analytical and mathematical proficiencies, highly organized, resourceful and a proactive nature
  • Demonstrated ability to adhere to tight deadlines, adapt to professional climates, and collaborate with all levels of management
  • Computer proficiency specifically with Microsoft Office (Word, Excel, PowerPoint)
